Migrating 80 users and multiple departments to secure cloud storage

A nonprofit organization was running its files across a mix of aging local servers and network storage, with permissions that had grown messy and inconsistent over the years.

The challenge

Broken inheritance meant granting a new hire — or an employee moving into a new role — access to the files they needed required manually disabling inheritance and setting permissions folder by folder. It was slow, error-prone, and fell entirely on internal staff.

The approach

  1. Planned a phased transition covering roughly 80 users and 3–4 terabytes of data across several departments
  2. Migrated two departments per week rather than moving everything at once
  3. Rebuilt each department's folder structure with clean, properly inherited permissions
  4. Matched the new cloud storage layout to the familiar folders staff already used
  5. Provided one-on-one support to confirm each person's files were exactly where they expected

The outcome

Within a month, local file servers were fully retired in favor of a secure, cloud-based system with a clean permission structure. Granting or changing access is now a fast, standard process instead of a manual fix.
