Scope and who is responsible
SyncrionIT LLC, a California limited liability company ("SyncrionIT," "we," or "us"), is responsible for personal information collected through syncrionit.com. This notice applies to the public website, contact form, and call-booking page. Services delivered to a client may involve additional data practices described in the applicable engagement agreement.
The website and SyncrionIT's services are directed to businesses in the United States. SyncrionIT does not intentionally solicit individuals in the European Union, United Kingdom, or Canada through this website.
Information we collect
We collect the following categories of information:
- Contact and business information: name, business email address, telephone number, company name, and job-related details you provide.
- Inquiry and appointment information: messages, requested services, appointment selections, and related communications.
- Technical and usage information: IP address, browser and device information, pages viewed, referring page, approximate location derived from an IP address, performance information, and analytics identifiers.
We do not collect payment-card or bank-account information through the public website. Please do not submit passwords, authentication codes, private keys, protected health information, payment information, or detailed security-incident evidence through a public form or ordinary email.
How we use information
We use information to:
- respond to inquiries and schedule conversations;
- evaluate requested work and take steps toward a potential business engagement;
- operate, secure, troubleshoot, and improve the website;
- maintain business records and comply with legal obligations; and
- establish, exercise, or defend legal claims.
We do not rent personal information or disclose contact-form information to third parties for their own marketing. We do not currently use the public website to send marketing email or text messages.
Service providers and recipients
We disclose information only as reasonably necessary to operate the site and our business, comply with law, or protect legal rights. The providers used for the public website include:
- Cloudflare: website hosting, content delivery, security, and aggregate website-performance analytics.
- SuiteDash: embedded contact and booking forms and storage of submissions as business contact records.
- Microsoft 365: business email and related communications.
- Google Analytics: optional website-usage measurement after analytics consent.
We may also disclose information to professional advisers, authorities, or other parties when reasonably necessary to comply with law, protect rights or security, address fraud, or complete a business transaction such as a merger or sale. Providers may process information in the United States and other locations where they or their subprocessors operate.
Forms and secure document exchange
Contact and booking forms are hosted by SuiteDash and embedded from portal.syncrionit.com. The Message SyncrionIT panel available on most pages loads the same SuiteDash contact form when you choose to write a message. Loading an embedded form sends technical information to SuiteDash, and a completed submission is stored there as a business contact record. Existing clients who need to exchange sensitive business documents should use the authenticated SuiteDash client portal only after SyncrionIT provides access and confirms that the portal is appropriate for the information involved.
The public website and ordinary email are not approved channels for protected health information or access credentials. SyncrionIT does not accept protected health information through these channels.
Cookies and analytics
Cloudflare provides hosting, security, and aggregate Web Analytics used to understand site performance. Cloudflare states that its standard Web Analytics service operates without placing analytics cookies on a visitor's device. Cloudflare and other infrastructure providers still receive technical request information needed to deliver and protect the site.
Google Analytics 4 is optional and is loaded only after you select "Accept analytics." It may collect pages viewed, approximate location, browser and device information, referring information, and online identifiers such as _ga cookies. Depending on the applicable configuration and renewal of an identifier, these cookies may remain for up to two years. We use Analytics to understand and improve the website, including interactions with service links, contact options, and the message widget. A contact click does not establish that a call or inquiry was completed. We do not combine Analytics information with contact-form submissions. Resource search queries and worksheet entries are processed on the page and are not included in our custom analytics events. The Analytics property is linked to a Google Ads account, but this website does not currently load Google Ads tags or use contact-form information for advertising.
You can reject optional analytics, reopen "Cookie settings" in the footer, delete cookies through your browser, or use the Google Analytics Opt-out Browser Add-on. When a supported browser sends a Global Privacy Control signal, this site keeps optional analytics disabled. The site does not separately respond to the older Do Not Track setting because there is no generally accepted response standard.
Data retention
- Unanswered inquiries are ordinarily deleted within 90 days after the final follow-up.
- Other non-client inquiry and booking records are ordinarily retained for up to 12 months after the last communication.
- Business contact information is retained as needed for the active relationship. Client operational data follows the signed DPA, applicable BAA and documented retention schedule. Provider-controlled active copies are ordinarily returned or deleted within 60 calendar days after termination, subject to earlier legal duties or a specific lawful schedule. This is not an automatic continuation of backup service.
- Contracts, invoices and tax records may be retained for up to seven years or longer when required by law. Other retained records require a specific lawful purpose, limited data scope and review date. Applicable PHI return and destruction requirements take precedence; possible future insurance or dispute relevance alone does not authorize indefinite retention.
- Analytics information is retained according to the settings maintained with the analytics provider and is reviewed periodically.
Limited residual backup copies remain protected and expire within the documented maximum retention cycle. Any lawful retention exception has a recorded basis, limited scope and review date; applicable BAA requirements control PHI.
Your privacy choices
You may request access to, correction of, or deletion of personal information you submitted to SyncrionIT by emailing [email protected]. We may ask for information reasonably necessary to verify your identity and may retain information when permitted or required by law. We will not discriminate against you for making a privacy request.
SyncrionIT does not knowingly sell personal information. We do not use information submitted through our contact or booking forms for cross-context behavioral advertising. If applicable law provides additional rights based on your residence, you may submit a request through the same email address.
Children
This website and SyncrionIT's services are intended for businesses and are not directed to children. We do not knowingly collect personal information from children under 13 through this website. If you believe a child submitted information, contact us so we can review and delete it as appropriate.
Security
We use reasonable administrative, technical, and organizational measures intended to protect information. No internet transmission, email system, or storage system can be guaranteed completely secure.
Changes to this notice
We may update this notice as our practices or legal obligations change. We will post the revised notice on this page and update the effective date. If a change materially affects how previously collected information is used, we will provide additional notice when reasonably required.
